About the Position

This position is best suited for someone who is versatile in their use of technology and has a strong knowledge of web-related applications. Proficient communication and writing abilities are other key skills that a successful support agent should have. Knowledge gaps lead to additional conversations, time delays, and decreased clarity. This minimizes the client experience, and undermines our goals. Therefore, the individual selected for this role should be a critical thinker, clear communicator, informative resource, and more. We strive for happy clients, and part of that goal hinges on this position.

Along with great written and verbal communication, it will help to have a working knowledge of HTML for simple client website edits. This makes it easier to describe problems and solutions in proper web tech terminology, which helps our developers to resolve problems quickly. Plus, having a working knowledge of website content management systems (CMS) — such as WordPress — is very important.

Furthermore, the support agent, will work with clients on their WordPress websites, and the REALSTACK software platform that powers these. It will also work with our developers, designers, and executives to improve overall client service processes through technology. This incorporates expanding knowledge bases, improving new client experiences, and more.

The individual will be expected to cover U.S. client work schedules (Eastern to Pacific time zones).
REALSTACK is a fully-remote company, and this is meant to be a remote position, but in-office work is welcomed.

Potential Roles and Responsibilities

In addition to the aforementioned expectations, here are things we’ve worked on recently that provide a sense of day-to-day operations. Consider these examples of potential duties and responsibilities:

  • Preparing videos, how-to articles, and marketing announcements.
  • Creating how-to videos with screenshare recordings of our software.
  • Building a new support portal for hosting how-to articles and videos for self-service, online help.
  • Setting up website data feeds for clients.
  • Helping clients connect G Suite accounts to REALSTACK.
  • Adding self-service support features in our application for client assistance.
  • Adding additional resource webpages (with content) to client websites.
  • Configuring a phone system for inbound support calls with auto attendant, hold routines, and call routing.
  • Conducting webinar trainings for small groups of client administrators on adding real estate listings to our software.

How to make your first Instagram post

Embrace Instagram for Sales Success

Whether you’re an Instagram expert or a novice, a few simple tips can help you create posts with ease and boost your profile. We’ll start at the beginning for those of you new to the popular platform. But even if you’re a regular, we have some advice that can help you generate more sales for your clients. We’ve developed this guideline just for land brokers and real estate agents to help you get started on your way to becoming an Instagram sensation. It’s easy. Let’s make an Instagram post.

First, the Basics

Instagram makes it very simple to post onto their platform. At the bottom of the Instagram app, there is a toolbar that provides a range of options to navigate the app. From left to right:

  1. House Icon – The house icon showcases what Instagram calls your “feed.” The feed displays posts from the accounts that you follow.
  2. Magnifying Glass Icon – The magnifying glass takes you to the explore page. The explore page allows you to search for specific users and see posts that Instagram recommends based on the accounts you currently follow.
  3. Plus Sign Icon – We’ll focus on the plus sign in this article. It’s what allows you to add new posts to your Instagram profile. New — and frequent — posts are key.
  4. Heart Icon – The heart icon shows the recent activity on your account such as new followers, comments, and likes. The more hearts the better!
  5. Profile Icon – Lastly, the icon with your profile picture is your profile page where all of your posts are displayed in little squares on a grid.

Let’s Make an Instagram Post

Selecting your Image/Video

When selecting the media to post to your Instagram profile there are a couple of options. Instagram allows you to post both images and videos. Let’s talk about images first.

Images

Instagram allows the user to upload up to 10 images per post. Choosing multiple images is a great way for land brokers to show a variety of images for a featured listing. But if you only have one photo, don’t worry. A single image is a terrific way to emphasize a property. When selecting a signature image for your property, think about how it will look on the VERY small screen. Most people follow Instagram on their phones, so edit with an eye toward clean, uncluttered images with a single, central focus. For example, landscapes are a  good choice. A landscape with a flowing creek in the foreground is better. But a landscape with a flowing creek and cows and someone fly fishing on the bank of that bubbling creek might be too much.

  1. Click the plus sign at the bottom of the app.
  2. Then select a photo from your photo album that you would like to post.
  3. After selecting your photo, if you would like to create a post with more than one photo click the icon that says “select multiple.”

Videos

To create a video post, select the video in your photo album the same way you would a single image. Videos are limited to 1 minute, but the posting process is the same as posting a single image. (See step by step instructions above). As with still images, edit your video ruthlessly. A minute is both not much time to showcase a property and a long time for someone to watch. Think movie trailer. Showcase the best bits. Aerials shot with a drone are a great way to introduce a ranch and are fun for your followers to watch.

Write a caption

Keep it concise. Captions can be informative, witty, or even entertaining depending on the goal for that specific post, but they should always be SHORT. New listings and land posts typically reflect a more informative tone. A behind-the-scenes post can be less formal with a bit of humor, but always keep it G rated and avoid allusions to politics and other tricky topics. You wouldn’t think we’d have to say this, but we do. Don’t ever post anything you wouldn’t want to see on a billboard or defend in court. It’s a good idea to have someone read a post before you push the button, and always check your work for typos.

How to make an Instagram post

Emojis are social media spice — a great way to get attention and add a bit of zing but not to be overused. Try limiting yourself to no more than three emojis per post so that the symbols don’t clutter the copy. One exception to this is if you are using emojis as bullet points to list a property’s features as shown below.

What are hashtags?

You’ve seen them everywhere–a pound sign followed by a word or two. But what purpose do they serve?  In the Instagram world, hashtags are a great way to boost your post and have it “discovered” by people who don’t follow you. In your niche, there are specific hashtags to connect you with others who are also interested in your field of work. Instagram has a new feature where you can follow hashtags that are relevant to your market such as #landbroker or #realestate.

Hashtags can be used at the end of your caption. We recommend using 10-15 hashtags per post so that you receive optimal exposure.

Here is a list of hashtags that we believe are most relevant to land brokers. You can mix up this list depending on the post and what hashtags you feel would best suit the subject.

How to Create Contacts & Assign Activities to other Users

New video is out on how to create contacts and assign activities to other users in REALSTACK.  Maybe you take phone leads and need to get the detailed information to your agents …this is the video to show you how to accomplish this AND have the ability to report on these leads being logged.

This video will cover creating contacts and activities for other REALSTACK users. A common scenario is receiving inbound calls from leads on a property for another agent or broker. It is best if you are logged in as a Client Admin user, but these steps can also be applied when logged in as a Client User role in REALSTACK.

The common scenario is an inbound call to the main office phone number asking questions or requesting information about a property your brokerage has available for sale.

When the call comes in, the first thing you will do is search for an existing contact already in the system for that listing rep or user.

From the View Contacts table, select the dropdown filter for users and select the user who is representing the listing. In this case, “Chad Polk”. Then search in the text box filter for the contact who called in. In this case, search “Brett” such as Brett Farve. The Brett Farve contact does not exist for Chad Polk user so I’ll go ahead and create the contact now.

On the left navigation menu, click “Add Contact”.

On the Add Contact form, make sure the “Assigned to” drop down has “Chad Polk” as the user so that he will be able to have full access to viewing this new contact AND will get the email notification that a contact has been assigned to him.

We’ll quickly fill out the Add Contact form and click Submit.
Next step is to log the completed activity for the inbound call that you took. Click the “Add” link in the top right of the Activity Stream so that the activity will auto associate with this contact here.

Begin to fill out the Activity form.

Make not of the “Assigned to” field defaulting to you. Leave this assigned to you because you were the user who took the call and is logging the completed activity.

Type a short subject of the activity, set the date as today since the call just happened, set the activity type to “Call” because it was an inbound phone call, the status defaults to completed.

In this scenario it is not necessary to worry about the Account field, but you see the Contact is already pre-populated for you because we were originally on the contact detail screen for Brett Farve. We don’t have a deal yet and next you can associated this activity to the listing “Circle Bar P” because that was the property Mr. Farve was interested in.

Input any notes you may want to reference.

Set the source to “Website” because Mr. Farve referenced seeing this new listing on your website. And Conversion isn’t necessary on an inbound phone lead activity.

Click Submit & Create Another Activity button so this current activity will be logged and then you can assign the next open activity to Chad Polk to call Mr Farve back.
Now you’ll see a green confirmation message at the top that your previous activity was saved or logged and we can move on to create an open activity assigned to the listing rep Chad Polk.

First the Assigned to field will need to be “Chad Polk” so that he gets the email notification of an activity assignment and when he logs into REALSTACK he will be able to see this activity that was assigned to him.

We’ll create a quick subject that is informative.

Suggest a due date.

Activity Type should be set to whatever you are suggesting the listing rep to do. In this case, we’ll suggest to call the lead back.

Notice the status defaults to “not started”.

The next column has all the previous activity related fields still populated.

Add your notes for information and guidance to Chad Polk in the notes field.

Source and conversion are not necessary in this instance.

So at this point Chad Polk should have received a notification for:

  • The contact being assigned to him, and;
  • The activity being assigned to him as “Not Started”.

This simple process is an excellent alternative to receiving inbound phone calls and typing all this information in an email. The benefits of entering and assigning information in REALSTACK are:

  1. Logging of inbound calls is streamlined
  2. You have a detailed record of this new lead and activity for reporting
  3. Listing reps are efficiently notified of inbound leads the brokerage is generating for them
  4. And most importantly, the brokerage marketing paid for that lead and they’ll be able to add this new lead to future marketing campaigns such as email newsletters and more.

What we’ll do next is look at what the listing rep will see …

First you’ll see the email notification of the Contact assignment with all the contact information you provided.

Next you see the email notification for the Activity assignment with all the contact and activity information you provided.

Ultimately what the listing rep is able to do is click the “Activity” link towards the top of the email and view this activity in their REALSTACK account.

From this Activity Detail screen the listing rep will be able to click the edit icon in the top right corner and mark this activity completed at the appropriate time.
